What to Expect During a Video Shoot: A Client’s Guide
So You’ve Decided to Come to Set…
If you’ve never been part of a video production before, the process might seem otherworldly. Why does that one person keep putting their fist up in front of the light? What does “5 Apple” mean? Why does everyone keep saying “gotta 10-1”???
But with the right preparation and expectations, your shoot day can be a smooth and enjoyable experience. Like a day at the beach where everyone runs around at insane speeds for 2 hours, does nothing for 4, and then has lunch.
Here’s what you need to know about what happens during a video shoot and how you can prepare for it:
1. Pre-Shoot Preparation
Before the cameras start rolling, a lot of planning goes into ensuring everything runs seamlessly. By the time you arrive on set, your production team has already:
Finalized the script and shot list
Scheduled the shoot and secured locations
Coordinated with talent, crew, and other key personnel
Ensured all necessary equipment is ready to go
Sent out a call sheet to everyone at every level so everybody knows where to be, when, and what we’ll be doing there
As the client, you should review the final details beforehand and communicate any last-minute changes to your production team. A good, professional video production team does NOT need to fix things in post.
2. Arriving on Set
For a basic shoot, you’ll meet with the production crew on the day of the shoot. For a normal set this will most likely include (but is not limited to) the following:
Director(s) and Producer(s)
Camera Team
Grip and Electric Team
Art, HMU, and Scenic Team
Sound Team
PAs who are more than happy to help
The team will walk you through the schedule and ensure everyone is aligned on the goals for the day.
3. Setting Up Equipment and Lighting
Before filming begins, the crew will set up cameras, lights, set dressing, boom poles, C47s, apple boxes, and on and on and on (you get the idea) — to get everything ready for a seamless shoot. This process can take some time (a lot of time), but it’s essential for achieving high-quality results.
4. Filming the Scenes
During the shoot, the production team will guide you or any on-camera talent through the process. Sometimes you’ll get it on take, oftentimes they’ll want to try things a number of times to get a few options. Some key things to keep in mind:
Be patient—filming often takes longer than expected.
Follow the director’s guidance for movement, positioning, and delivery.
If you’re speaking on camera, stay relaxed and speak naturally. There’s nothing to worry about. No one will laugh at how you said things until we start editing.

5. Reviewing Footage
Some production teams will allow you to preview select shots to ensure they align with your expectations. However, the final polished version will come together during post-production.
6. Wrap-Up and Next Steps
Once filming is complete, the crew will break down equipment and confirm the next steps. This includes:
Transferring footage for editing with a dedicated DIT (digital imaging technician)
Scheduling post-production milestones (usually done via email or a meeting the following day)
Discussing any additional input or feedback you may have (we aim to please!)
